Volunteer Application to Follow

18th Annual Conference

(Pre-Conference September 27-29, 2010) 

ISNR needs volunteers for this year's conference at the Interlocken Hotel in Denver, Colorado. Volunteers are a key factor in assuring the smooth operation of our conference. There are perks for helping. Please spread the word about our need for volunteers.

To be a volunteer you must be a current member of ISNR. Each volunteer will register for the conference at full cost. For each approximately one hour of volunteer work completed satisfactorily, volunteers will receive a $15 credit to be applied toward current or future membership dues, conference registration, workshop fees, or DVD or book purchases.

Please review tasks and shifts, complete the volunteer application and fax it to the number listed on the application. Keep a copy of the application for your records. Volunteer applications will be considered on a first come, first-served basis. However, please be aware that tasks will be assigned on an as-needed (priority) basis.

Carefully consider whether you are willing to commit to doing the task outlined on the days and shifts for which you volunteer. Those members who are accepted as volunteers will be notified as soon as possible. Onsite volunteers will be considered if needed.

Here are some points of information for you:

  1.  All volunteers will attend scheduled orientation sessions on job specifics, and will work with designated staff. Shifts will average three to four hours as described below and compensation will be a credit of $15 per hour.
  1. Identify your availability for specific shifts (date and time) on the volunteer application form.
  2. Make only those time commitments you will honor. Know that you may be assigned to other needed tasks during your shifts. Although volunteers may ask for preferential assignments, not all requests for specific tasks can be honored. Flexibility is appreciated. In the past volunteer requests were honored when enough coverage was available.
  1. If you request a shift assignment based upon a specific lecture or workshop, indicate your request on the application form.
  2. On the day of your assignment, report to the registration area a minimum of 20 minutes prior to the start of your shift time to sign in, pick up materials and receive last minute information. Volunteers will return materials to the registration area at the completion of their shift/assignment and sign out on a daily basis.

TASKS/SHIFTS

Pre-Conference Setup: (All day, Monday, September 27). Assist in unpacking, arranging, organizing, preparing conference packets, etc. under direction. Requires organizational skills, lifting and moving boxes, running errands, working with others.

Pre-Registration Greeter: Tuesday and Wednesday 7 AM to 12:30 PM and 3 to 6 PM, Thursday 7 AM to 3 PM.

In lobby of hotel or in front of conference registration area to welcome attendees and provide direction. May also require assisting with registration depending on need.  Requires social outreach skills, willingness to learn information in order to answer registration questions, standing and walking. Training and radio backup are available.

Registration Assistant: Tuesday 7 AM to 12:30 PM and 3 to 6 PM, Wednesday 7 AM to 12:30 PM and 3 to 6 PM, Thursday 7 AM to 3 PM.

Greet, distribute materials for prepaid attendees, answer questions, provide conference packets. Requires outgoing, upbeat attitude, working with society staff.

Book Store Assistant: As needed during registration hours.
Process inventory and sales during bookstore hours of operation.

Plenary Session Door Monitor: Thursday through Sunday 7:45 AM to 12:30 PM

Greet attendees and monitor the doors for the plenary session meeting rooms for compliance with registration information, i.e. name badges will be coded to allow attendees access to plenary sessions. Monitors for maintaining quiet during sessions. Requires diplomacy skills in dealing with persons without proper badges.

Post-Conference Cleanup: Sunday 3 to 6 PM.

Collecting and packing material for shipping under direction of staff. Will require sorting, labeling and lifting.

Audio/Video Coordinator: Full time to plan, arrange and supervise the A/V facilities on site. To secure and maintain equipment and assure proper recording of selected presentations and workshops. Requires knowledge of Windows and PowerPoint software, equipment functions and recording/storage procedures.            

Audio/Video Assistants: Five hour shifts during the plenary sessions (plenary sessions are scheduled 8:00 AM to 12:30 PM Thursday through Sunday) to prepare speakers to be on time for their presentations with A/V equipment. Requires knowledge of laptops, projectors, overheads, microphones, etc.

Equipment Monitor: 5 to 6:15 PM (after workshops on Thursday through Sunday) and 7:30 to 9:30 PM after panels on Thursday and Friday. Secure A/V equipment at end of each afternoon and evening's events.

Workshop Monitor: Tuesday and Wednesday Pre-conference workshops, all day (up to 8 hours); Thursday through Sunday afternoon workshops from 3 to 6:15 PM). Collect signed tickets, send un-ticketed attendees to registration desk, maintain attendance logs, pass out and collect feedback forms and workshop exams, assist speakers with arrangements and equipment, assist with room maintenance through society staff. Requires social skills, concentrated attention, and standing intermittently.

Floater: Involves lunch time desk coverage and afternoon activities. Assigned to registration area to provide back-up for monitors/staff on as-needed basis to run errands, deliver messages, do administrative assistant tasks of general nature. A floater is particularly needed Wednesday 3 to 6 PM and Thursday 7 AM to 3 PM.

Small Group Discussion Scribe: Take notes at Small Group Discussion Sessions and prepare a written summary report with the Clinical Corner Moderator of the findings in each assigned session for publication in NeuroConnections. Vendor Assistant: As needed.
Assist vendors with set-up and tear-down; monitor for security; assist with securing vendor area each evening.

Fundraising Assistant: As needed.
Assist fundraiser coordinator in preparations for fundraiser (raffle, silent auction, etc.) including set-up, collecting bids/donations, assist in tabulations, assist in distribution of any necessary prizes, and assist with any other related tasks under the direction of the fundraiser coordinator.
